The BE-CSS group, a melting pot of over 20 nationalities, needs a skilled Administrative Assistant to facilitate its daily operations and international cooperation. You will be the central point of contact for the group, which involves managing agendas and coordinating events while providing administrative support to the Group Leader and all other team members from students to senior professionals. The role suits an organized professional who provides service to others and works well in fast-paced multicultural settings while supporting scientific research at its most advanced level.

Organizational Context and Role

Physicists and engineers at CERN which stands for the European Organization for Nuclear Research study the basic principles that govern the universe. Our work requires not only brilliant scientific minds but also a dedicated team of professionals who ensure seamless operations.

The Controls Software & Services (BE-CSS) group requires an Administrative Assistant who should possess high organizational skills and proactive work habits. The team which consists of up to 65 members from more than 20 nationalities essential to CERN operates its scientific facilities through their remote control systems. The group secretariat depends on you to run its daily activities because you will provide complete administrative support to the international team. You will handle daily operations while directly assisting the Group Leader and participating in the group’s outreach efforts and collaborative projects.

Key Functions and Responsibilities

  • Front Office and Personnel Support functions as the primary contact point who helps all group members with their administrative needs while they arrive and leave to comply with CERN regulations and procedures.
  • Management Team Support handles meeting organization and participation which includes taking meeting minutes and creating lists of tasks that need to be completed based on decisions made during meetings.
  • Personal Assistance to the Group Leader requires the Group Leader’s schedule and email management to be handled together with administrative tasks which include creating email responses and gathering and evaluating data and monitoring progress on tasks to be completed and meeting coordination.
  • Information and Communication Management handles confidential material through email and letter and presentation systems while I assist with content development for the group website and I help with outreach work.
  • Logistics and Event Coordination handles the planning of official duty trips and conferences and workshops together with all other group activities.
  • Team Collaboration requires me to work together with all other administrative assistants from different departments while I take their responsibilities during times when they are not present.

Qualifications and Experience

Education:

  • Higher technical diploma or equivalent relevant experience in the field of General Administration or a related field.

Experience:

  • The candidate has demonstrated established expertise in delivering basic administrative support services to a wide-ranging community.
  • The candidate has shown success in performing both solo work and collaborative team work.
  • The candidate has demonstrated established expertise in delivering personal assistance services to a manager.

Technical Competencies:

  • Customer Service

  • Proficiency in standard office software packages

Employment Conditions and Benefits

Contract: This is a limited-duration contract for 5 years. Subject to certain conditions, holders may apply for an indefinite position. Possibility to extend up to 8 years.
