Within the OECD, the International Energy Agency (IEA) has a clear and urgent focus: to make global energy supplies more secure, support sustainable economic growth, and protect our environment. Our Communications and Digital Office is responsible for sharing the IEA’s essential research and analysis with the world.
We are now looking for a new colleague to join our Product Strategy and Sales (PSS) unit. This small and dynamic team manages how the IEA’s publications and data are shared, sold, and licensed. You would be our new Sales Administration Officer, reporting directly to the Sales Manager. In this position, you would be the operational cornerstone of our sales activities, ensuring everything runs smoothly so that our world-class analysis can reach policymakers, researchers, and leaders everywhere.

Your Key Responsibilities: The Work You Will Own
In this role, you will be a core member of our sales team, entrusted with a variety of important tasks that keep our operations thriving:
- Leading Our Sales Administration & Managing Our Webstore: You will be the primary point of contact for our online store. This means processing orders, issuing invoices, and carefully maintaining our customer database. A big part of your role will be providing excellent, responsive service—answering questions, resolving issues, and building positive relationships with everyone who contacts us. You will also coordinate with other IEA teams, like our authors and press office, to ensure new publications and data products are uploaded and presented perfectly on our site.
- Tracking Payments with Precision: You will take charge of our payment processes. This involves accurately recording incoming payments in our financial system (SAP) and confirming them in our webstore, working hand-in-hand with the OECD Accounts Department. You will also kindly and professionally follow up with clients on any outstanding invoices, ensuring our financial operations are complete and timely.
- Managing Data Licensing with Care: Our data is valuable, and its use needs to be managed correctly. You will talk with customers to understand their needs and thoughtfully apply the IEA’s licensing and compliance policies. You will help negotiate and draft fair license agreements, collaborating with our legal office to get the details right and protect the integrity of our work.
- Creating Insightful Reports: Your work will help us understand our progress and make smarter decisions. You will prepare our regular quarterly financial sales reports and create other analytical reports as needed. By maintaining our sales metrics and statistics, you will provide our team with a clear picture of what’s working and where we can grow.
We Are Looking for Someone Like You
Your Education:
You have completed higher education, holding a diploma or degree (like a BA/BSc) in a relevant field such as Business Administration, Marketing, Communications, or Economics.
Your Professional Experience:
- You have solid, hands-on experience in administrative tasks, and you likely have a background in marketing, sales, or data/information services.
- You are exceptionally organized and can be relied upon to work effectively on your own as well as part of a supportive team.
- You have a strong customer-service mindset and can gracefully manage several different priorities at once.
- You communicate with tact, courtesy, and diplomacy, making you a great partner for both internal colleagues and external stakeholders.
- You are familiar with digital communication and understand how e-commerce works.
- It would be a wonderful bonus if you have a personal interest in the energy sector or related fields like the environment or technology.
- Previous experience in a public institution or international organization that sells publications or data is also a plus, though not required.
Your Technical Skills:
- You have a good working knowledge of CRM systems, sales platforms, or similar web-based tools.
- You are very proficient with Microsoft Excel, and experience with tools like Power BI for data analysis is a strong advantage.

What You Need to Know
The Practical Details:
This is an on-site position based in our Paris office. We are looking to fill more than one role through this vacancy. The exact type and length of your contract will be confirmed when an offer is made; typically, the IEA offers 24-month contracts with the possibility of renewal.
Your Compensation:
The monthly salary for this position starts at 4,422.72 EUR. This is supplemented by allowances based on your personal eligibility, and the salary is exempt from French income tax.
