Gift Processing Coordinator
Location: Portland, Oregon (Hybrid; 3 days/week in office)
Department: Philanthropic Growth & Engagement (PG&E)
Position Status: Full-time, Regular, Exempt
Salary Range: $40,000 – $47,500 (commensurate with experience)

Our team consists of professionals who focus on private fundraising and marketing and operational experts who work to establish trust with our supporters while creating long-lasting connections.
Our Development Operations team in Portland needs a Gift Processing Coordinator who demonstrates both attention to detail and strong organizational abilities. The fundraising process relies on this position which guarantees that all donations, including direct mail and online gifts and monthly contributions, receive precise and quick processing according to strict standards. Your work will directly support the vital resources that fuel Mercy Corps’ global programs.
Essential Responsibilities
Gift Processing and Constituent Record Management:
- The Raiser’s Edge donor database processes donation transaction reports which users download from multiple sources including online platforms and mail processing centers. The system requires users to follow data standards and processing rules for their work to proceed.
- The system needs to properly code all gifts by their amount and appeal and fund details while it requires special treatment for handling complex donations which include donor-advised funds and IRA distributions and gifts with premiums.
- The organization designates me as the main contact person who manages all aspects of monthly giving data through which I handle processing sign-ups and upgrades and regular gift imports.
- The team performs constituent and gift updates by completing various tasks which include assigning solicit codes and notifying of deceased status and processing chargebacks and refunds.
- The team needs urgent assistance with database problems which affect their ability to access gift and constituent records because I provide rapid database issue resolution support.
- The organization requires me to function as a mediator between external vendors and the organization to transmit data requirements while I handle system problem resolution.
Office-Based and Operational Duties:
- The candidate must work at the office three days each week to perform tasks which involve handling donation mail and creating special tax receipts and helping with check deposits together with the Admin + Facilities Team.
- The individual needs to maintain knowledge of essential systems which include The Raiser’s Edge and Blackbaud Merchant Services and ActionKit and Braintree.
- The organization needs to establish complete documentation which describes its policies and procedures.
- The organization needs to protect banking information and payment card data through top-level security measures which meet PCI compliance standards.
- The employee needs to acquire skills from the Senior Coordinator, Major & Special Gifts through cross-training and to support the Senior Coordinator in their duties.
- The organization establishes donor trust through its practice of confidential information protection.

Minimum Qualifications & Transferable Skills
- The candidate needs to have one year of work experience in a nonprofit organization which should include fundraising and development operations and finance work.
- The applicant needs to have experience using The Raiser’s Edge donor database system or a comparable database system which requires RE NXT knowledge as an extra advantage. The user has advanced skills in Microsoft Office Suite while demonstrating expert proficiency in Excel for handling data tasks.
- The applicant demonstrates exceptional data entry skills because they can complete tasks with high precision and speed. The applicant needs to handle tasks with special attention to detail, particularly for spreadsheets and reports. The applicant has shown the capacity to execute complex work through operation of multiple tasks while handling work assignments to complete all tasks before the scheduled time. The person has outstanding skills in both spoken and written communication, and they can establish relationships, work together with others, adapt to different situations, and remain calm during challenging situations.
Success Factors
The successful candidate will be a versatile multi-tasker committed to accuracy, able to organize and prioritize numerous urgent tasks. The candidate must demonstrate proactive problem-solving skills while solving problems and need to understand the entire fundraising process. The position requires the candidate to display even temperament together with good humor and the ability to understand multicultural contexts in international development work.
