Plan International Togo needs to hire a Logistics Assistant who demonstrates strong attention to detail and proactive work habits to assist in managing National Office operations from our Lomé location. This position serves a critical function which ensures our organization manages all assets and facilities and vehicles in a secure manner according to established organizational standards which enables our program teams to concentrate completely on their work of helping children and communities.
Your work responsibilities include reporting to the National Logistics Coordinator while you establish partnerships with co-workers from different offices and with vendors and service providers. Your work performance will enhance our office operations because your organizational abilities will help maintain resources in proper order which will ensure their availability during critical times.
Key Duties and Responsibilities
- Asset & Inventory Management: The team is responsible for office equipment management and physical inventory work while they keep inventory records current. The team handles new equipment reception by tagging assets and monitoring their distribution to different departments.
- Stock Control: The team requires stock registers to track inventory movements while they need to implement stock control procedures according to established systems.
- Fleet & Facility Support: The team manages vehicle fleets while they track vehicle maintenance and repair work and handle staff travel arrangements. The team maintains and fixes office spaces and their equipment.
- Administrative & Financial Support: The team manages document reproduction and binding. The team prepares payment requests which they submit to finance while maintaining proper payment document filing. The team scans accounting documents to gather budget data with necessary information.
- Document & Filing Management: The organization needs to maintain structured storage procedures for all administrative and logistics documents.
- Meeting & Workshop Support: The team helps with all logistical needs to set up and operate meetings, workshops, and events.
- Supervision: The supervisor oversees cleaning personnel who work at the National Office.
- General Support: The team provides material and financial resource management support while handling additional tasks that supervisors assign to them.
Qualifications and Experience
Education:
- A minimum of a High School Diploma or equivalent in a relevant field (e.g., Logistics, Administration, Management). Additional technical or vocational training in logistics or supply chain management is an advantage.
Experience:
- The minimum requirement for this position needs 2 to 3 years of actual work experience in logistics or administrative or operational support positions.
- The organization prefers candidates who have experience managing asset inventory and controlling stock and supporting fleet operations.
- The candidate’s previous work with an NGO or international organization provides a significant advantage.
Skills and Competencies:
- The applicant demonstrates excellent organizational abilities together with their capacity to concentrate on even the smallest details.
- The person possesses sufficient understanding of essential administrative tasks and logistical operations.
- The user demonstrates complete proficiency in using Microsoft Office Suite applications which include Word and Excel.
- The individual demonstrates capacity to perform their work duties without assistance while also sharing responsibilities with others.
- The individual displays strong integrity together with complete reliability and an active commitment to finding solutions for problems.
- The applicant has French communication abilities for both writing and speaking while local language knowledge provides him with additional benefits.
Working Environment and Safeguarding
- The National Office in Lomé, Togo serves as the primary work location for this position which allows for transfers to other Plan International offices throughout the country.
