Organizational Context and Role

The Common Premises and Shared Services Unit of the UNDP Country Office in Iraq is responsible for the management of a common space and services united by the co-located UN agencies, funds, and programs. The Common Premises Unit is tasked with the overall management of shared facilities, assets, and services in an efficient, secure, and cost-effective manner. The unit’s objective is to provide professional, uninterrupted support of high quality, enabling the agencies to concentrate on the discharge of their significant responsibilities.

Moreover, we are looking for two energetic and meticulous Facilities Management Clerks to become part of this very important unit. The newly recruited personnel will be working closely with the Engineering Specialist – Head of Facility & Engineering Unit, hence they will be involved in the admin and coordination activities that keep our premises functional, safe, and in good condition. Customer-oriented approach and total compliance with the UN/UNDP regulations and procedures are the requirements of this position.

Duties and Responsibilities

1. Document and Information Management:

  • Collect, compile, and organize information; perform basic cost calculations; and translate statistical data into graphs and summaries.
  • Secure necessary approvals and signatures from authorized personnel for projects, requisitions, and invoices.
  • Establish and maintain a systematic filing system for all requisitions, original construction documents, and technical drawings (architectural, structural, electrical, mechanical).

2. Coordination of Maintenance and Groundskeeping:

  • Generate and dispatch work orders and technical blueprints to the appropriate trade shops to execute alteration, maintenance, and groundskeeping work.
  • Proactively follow up on pending requisitions and requests for additional or priority services.
  • Control and manage requests for copies of all facility-related technical plans.

3. Administrative and Logistical Support:

  • Drawings, sketches, and construction documents in both manual and electronic formats should be catalogued and archived.
  • Correspondence, including supply requests, contractual service documents, and utility projections, is to be drafted and typed.
  • Office supply stock for the unit is to be managed and monitored.
  • Other related duties are to be performed as required to ensure the office is running efficiently.

  • Business Management – Operations Management: Competence in scheduling, organizing, and supervising the company’s procedures in an efficient manner.

Required Skills and Experience

Education:

  • Secondary education (high school certificate) is required.
  • OR a Bachelor’s degree in Engineering (Civil, Architectural), Facility Management, Business Administration, Hotel Management, or a related field will be given due consideration but is not a requirement.

Experience:

  • For candidates with secondary education, at least 3 years of progressively relevant experience in facilities management, administration, engineering services, building maintenance, or a similar field is necessary.
  • Prior experience is not a requirement for candidates with Bachelor’s degrees.
  • The requirement is computer and office software (MS Word, Excel, etc.) skills, and web-based management systems (ERP) knowledge.
  • International or UN/UNDP experience is preferable.
  • Knowledge of building systems (HVAC, plumbing, electrical) will be an added advantage.
  • The ability to work effectively in a complex, multicultural environment is a must.
  • Experts in stakeholder engagement with UN/UNDP procurement process knowledge are preferred.

Languages:

  • Fluency in English and Arabic is required.
  • Knowledge of the Kurdish language is desirable.

Professional Certificates:

  • Formal technical training or certification in building services, construction, or facilities management is an asset.
