Your Key Accountabilities and Responsibilities
In this role, you will be entrusted with a wide range of responsibilities critical to the team’s efficiency and effectiveness:
Core Administrative & Logistical Support:
Be the main link for very complicated traveling arrangements overseas, which consist of organizing the complete itinerary, booking accommodation, applying for visas, and even passport renewal, making sure that the policy for the EBRD is adhered to and everything runs smoothly.
Oversee and refine the schedules of busy individuals, handling the coordination of a great number of internal and external meetings, video conferences, and guest receptions in such a way that it is possible to have perfect timing.
Take care of the consultancy contracts and legal papers, communicating with the outside consultants and law firms directly as per instructions.
Keep very detailed minutes of the meetings, precisely indicating the main topics of discussion, the decisions made, and the action points for easy communication and follow-up.

Be the main person in charge of all events, conferences, and gatherings in your department. You should take care of every detail and make sure everything is managed and executed to the highest professional standards.
Be responsible for and manage the team’s calendars, contact lists, and whereabouts trackers that are updated weekly to facilitate effective communication and planning.
Set up and take care of very efficient filing systems both for paper and electronic documents (LiveLink included) that will enable fast and proper document access and good information management.
During the absence of your colleagues, provide uninterrupted secretarial cover with detailed handover notes that will guarantee continuity.
Departmental Coordination & Special Projects:
- May take on additional coordinating responsibilities as the departmental point of contact for IT, HR, or Information Management initiatives.
- Conduct specific ad-hoc tasks and projects as assigned by your Line Manager, which may include pipeline reporting or other analytical support.
- Exercise sound judgment and discretion when handling confidential and sensitive information.
Knowledge, Skills, Experience, and Qualifications
Essential Criteria:
- A high school diploma or equivalent is required; a recognized secretarial qualification is advantageous.
- Substantial and proven secretarial and administrative experience, ideally within a professional, international context.
- Fluent in English, with outstanding written and verbal communication skills and a professional, courteous telephone manner.
- Exceptional organizational skills, a proactive mindset, and a flexible, can-do attitude.
- The ability to use initiative, work autonomously, and manage multiple tasks simultaneously while remaining calm and professional under pressure.
- Strong interpersonal skills with the ability to build effective working relationships across a diverse, multicultural environment.
- Impeccable attention to detail, discretion, and a conscientious, reliable approach.
- Computer literacy at an advanced level in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). A typing speed of at least 55 wpm is required.
Desirable Assets:
- Working knowledge of another language, such as Russian, German, French, or Arabic.
- Familiarity with SAP or similar enterprise resource planning systems.
- An understanding of EBRD procedures and the broader operational context of an international financial institution.
