The organization operates in 120 global offices while collaborating with both public and private partners to fund innovative initiatives which utilize data and research and technological advancements to address urgent global issues.

The World Bank Group Board executive directors take responsibility for managing our organization’s governance system. The 189 member countries appoint or elect directors who safeguard national interests through their roles as executive directors. The Board relies on its Alternates and Senior Advisors and Advisors and dedicated administrative staff members to conduct thorough monitoring activities which span all Bank Group operational areas and financial obligations and actual accomplishments. The Board oversees the International Bank for Reconstruction and Development and the International Development Association and the International Finance Corporation and the Multilateral Investment Guarantee Agency and the International Centre for Settlement of Investment Disputes.

Duties and Accountabilities: The Architecture of an Effective Office

The Executive Assistant will provide complete administrative and operational support to the Executive Director’s Office through high-level executive functions. You will directly report to the Executive Director while collaborating with a Research Assistant and the Adviser team to maintain office operations at peak efficiency and professional standards.

Front Office Management and Representation:

  • The principal assistant to the Executive Director’s Office functions as the main contact point for all internal and external stakeholders who need to reach the office’s top officials. The Executive Director and Alternate Executive Director and all Advisers require professionals who can use their judgment, discretion, and diplomatic skills to handle the demands of their work and the Executive Director’s Office’s multiple tasks. The user has the ability to create and organize all standard business letters which they will send through their choice of English or Dutch or French or German to handle various requests with professional composure while choosing between different response options.

Governance and Operational Support:

  • The person in this position needs to create all necessary papers for Board Meetings and Committee Meetings and retreats and official travel while making sure all materials are correct and complete and delivered on schedule.
  • The World Bank Group Corporate Secretariat needs to be contacted by the office staff to handle all staff and office operations.
  • The Executive Director requires domestic and international travel plans which I need to create and I must handle the processing of trip reports and representational expenses through SAP while following all budget and policy requirements.

High-Level Event and Protocol Coordination:

  • The Executive Director requires a program which includes high-level meetings with visiting government officials at the ministerial level during both the World Bank Group and International Monetary Fund Spring and Annual Meetings which represent two of the most challenging and important international financial events throughout the entire year.
  • The Executive Director requires complete administrative and logistical assistance during his Annual Meetings attendance which occurs every three years in member countries.
  • The staff will set up meetings which will include senior government officials who will visit and private sector representatives and World Bank Group senior management.
  • The office needs planning and organizing to manage different events which include high-level presentations working lunches and dinners office retreats and networking and cultural events and official receptions.

Administrative Stewardship and Knowledge Management:

  • I draft and proofread official documents which include letters and memoranda to prepare them for Executive Director signature after I ensure their grammar and punctuation and institutional style comply with requirements.
  • I need to maintain and update contact databases and office filing systems and internal content repositories to ensure all information remains current and accessible while maintaining security.
  • I need to implement an efficient backup system which will ensure my organization can continue its operations during emergencies.
  • The office team and I work together to produce research deliverables and project documents which include meeting summaries and briefing materials.
  • The operational agenda and meeting logistics need to be organized for the whole office team by me.
  • The EDS10 website and internal databases require me to ensure their content remains current and accurate while maintaining a professional appearance.

Selection Criteria

Education and Experience:

  • Undergraduate degree required.
  • Minimum of 7 years of relevant, progressively responsible experience in executive administration, diplomatic protocol, corporate support, or a related field.

Language Proficiency:

  • The candidate maintains exceptional English skills because they can speak and write the language at an advanced level which enables them to prepare, check, and improve complicated official documents.
  • The position requires candidates to demonstrate professional working proficiency in one of the following languages Dutch, French, or German.
  • The company considers proficiency in extra languages as a valuable asset.

Technical and Institutional Knowledge:

  • The candidate possesses advanced proficiency in Microsoft Office 365 which includes Word, Excel, PowerPoint, Outlook, and Teams together with all related administrative applications.
  • The organization prefers candidates who demonstrate proficiency in World Bank Group systems which include eServices Admin Portal Webex SAP and content management systems.
  • The candidate must demonstrate either knowledge of World Bank Group administrative policies and procedures and practices or the capacity to learn this information quickly.
  • The candidate demonstrates two abilities which include managing the EDS10 website and learning new technologies through self-directed educational initiatives.

  • The employee needs to show flexibility by working extra hours and weekend shifts on short notice according to Board schedule changes and important events. The employee demonstrates a positive attitude which focuses on finding solutions while showing ability to adjust to changing situations.
  • The position demands employees to work from the office during regular business hours from 9:00 AM to 5:00 PM on Monday through Friday.

Important Notes on Appointment Type

  • The position requires local hiring for a duration of two years. The Administrative support staff members who join Executive Directors’ offices will start with an initial two-year Term contract.
  • Current World Bank Group employees with open-ended contracts should seek a re-entry guarantee from their releasing unit if they want to maintain their open-ended employment status after selection. You understand that your appointment will change to Term status because you lack a re-entry guarantee which prevents you from returning to open-ended employment.
  • Current open-ended staff working in ED offices will keep their open-ended status if selected for a position and they meet eligibility requirementsand they have received approval for their conversion through the ED ACS conversion policy. The Corporate Secretary will require staff to complete rotation.
  • Local Talent Preference: The recruitment process will favor candidates who possess work authorization for Washington D.C. employment across all companies. Internal applicants may apply per existing guidelines.
