Background (UNESCO)

Reporting Line:

  • Under the overall authority of the Assistant Director-General for Culture (ADG/CLT)
  • General supervision of the Chief of the Executive Office (Chief/EO)
  • Direct supervision of the Programme Coordinator, Communication and Global Monitoring Unit (CLT/EO/CGM)
  • Close coordination with Secretariats of the Culture Conventions

Key Responsibilities:

1. Coordination of Logistical Organization

  • Develop a biennial calendar of statutory meetings and events, ensuring compliance with convention requirements.
  • Ensure adherence to UNESCO regulations and procedures for meetings (HQ & field).
  • Manage interpretation services for multilingual statutory meetings.
  • Oversee administrative preparations, including participant registration and documentation.

2. Statutory Documents Planning & Translation

  • Coordinate the production and dispatch of working documents.
  • Supervise the preparation of invitation letters and ensure timely distribution.
  • Manage budgets, schedules, and contracts for related services.

3. Organization of Statutory Meetings & Events

  • At HQ: Ensure compliance with regulations, oversee administrative processes, and contribute to reporting.
  • Outside HQ: Conduct preparatory missions, advise on Host Country Agreements, and liaise with national authorities.
  • Special Events: Supervise logistics, material distribution, and support staff.

4. Team Guidance & Workflow Management

  • Provide guidance to support staff and team members.
  • Assist in work planning, scheduling, and document tracking.
  • Advise Culture Convention Secretariats and specialists on meeting organization.
  • Offer feedback for continuous process improvement.

Required Qualifications

Education

  • Completed secondary, technical, or vocational school.
