Key Functions and Accountabilities:

1. Administrative and Operational Support (40%)

  • Ensure all project operations comply with UN Women policies, rules and regulations
  • Manage logistics and shipments, including:
    • Customs clearance documentation
    • Incoming/outgoing shipment coordination
  • Organize travel and accommodations:
    • Process visa applications, travel authorizations and DSA claims
    • Arrange hotel bookings and transportation
  • Provide event support for:
    • Conferences, workshops and retreats
    • Venue setup and participant coordination
  • Maintain office operations:
    • Filing systems (physical/digital) with confidentiality protocols
    • Premises maintenance coordination
  • Conduct research and data compilation for:
    • Project documents, guidelines and reports
    • Position papers and briefing materials

2. Procurement and Assets Management (40%)

  • Oversee office supplies:
    • Maintain inventory and distribution logs
    • Monitor stock levels and replenishment
  • Manage assets administration:
    • Conduct periodic physical verifications
    • Prepare inventory reports
  • Lead procurement processes:
    • Develop and monitor procurement plans
    • Prepare RFQs, ITBs and RFPs
    • Coordinate vendor selection and contract negotiations
  • Ensure procurement compliance:
    • Review procurement requests
    • Submit documentation to Procurement Review Committee
    • Process Purchase Orders in Quantum system
    • Maintain vendor profiles

3. Knowledge Management (20%)

  • Facilitate capacity building:
    • Organize administrative trainings for staff
    • Document standard operating procedures
  • Compile best practices in:
    • Administration
    • Procurement
    • Human resources

Additional Responsibilities

  • Perform other relevant duties as required to support office efficiency
  • Contribute to special projects and initiatives

Supervisory Arrangements:

  • Reports directly to Operations Manager
  • No supervisory responsibilities
