Senior Executive Assistant

Roles & Responsibilities

1. Leadership & Office Coordination

  • Provide guidance, leadership, and direction to the Administrative and Client Support (ACS) team.
  • Coach and mentor junior administrative staff, ensuring the Country Management Unit (CMU) has necessary skills.
  • Assist the Operations Manager in ensuring quality delivery, organization, and coordination of office support.
  • Facilitate internal communication flow and act as a liaison between management and staff.
  • Participate in the Country Office Management Team, including involvement in hiring, coaching, and mentoring administrative staff.
  • Coordinate office management functions with the Operations Manager for smooth operations.

2. Support to the Country Director

  • Manage communications (emails, calls, documents, visitors), prioritizing urgency and redirecting as needed.
  • Prepare correspondence on behalf of the Country Director, ensuring confidentiality and discretion.
  • Monitor and ensure quality control of documents for the Country Director’s review, checking for accuracy and compliance.
  • Liaise with senior officials (internal & external), representing the Country Director when required.
  • Schedule and prioritize the Country Director’s meetings, travel, and events based on business needs.
  • Coordinate briefing materials, ensuring timely submission and follow-up on action items.
  • Plan official travel, consulting with management on objectives, agendas, and key engagements.

Selection Criteria

Education & Experience

  • Bachelor’s degree (minimum requirement).
  • 7+ years of executive-level experience in leadership and administrative support.
  • Experience with the World Bank or similar international agencies (preferred).

Technical Support & Problem Resolution

  • Promote technology adoption through training and desk-side coaching
  • Maintain awareness of current IT trends relevant to WBG operations

Administrative & Operational Support

  • Participate in facilities work and vendor management
  • Support security and business continuity activities
  • Disseminate information about common problems to staff
  • Document solutions and create knowledge base articles

Selection Criteria

Education & Experience

  • Bachelor’s degree (no experience required) OR equivalent combination of education/experience
  • Experience with IT service management and ITIL best practices
  • Foundational knowledge of agile methodologies
