Duties and Accountabilities:
The primary objective of this position is to deliver comprehensive administrative, logistical, and operational assistance to teams based in the World Bank’s Astana Country Office, as well as visiting delegations from headquarters and other World Bank offices. The responsibilities encompass a wide range of tasks, including but not limited to:
- Scheduling and Coordination: Organizing and managing work schedules, meetings, and engagements for visiting teams, which involves close collaboration with government counterparts, external partners, and various stakeholders.
- Document Preparation and Management: Formatting, drafting, and finalizing a variety of standard operational correspondence, project-related documents, and meeting minutes, ensuring adherence to institutional guidelines and procedural requirements. Incorporating feedback and revisions into documents while utilizing shared digital platforms and software tools efficiently.
- Data and File Management: Maintaining and organizing project-related data, records, and files in a systematic manner to ensure accessibility and accuracy.
- Operational Support for Projects: Assisting in the preparation, coordination, and implementation of World Bank projects by following established protocols and procedures.
- Event Planning and Logistics: Facilitating the planning and execution of conferences, workshops, negotiations, and other events involving government officials, project beneficiaries, academia, non-governmental organizations, private sector representatives, and international organizations.
- Task and Project Tracking: Monitoring assigned tasks and project timelines, coordinating with relevant team members, and providing necessary updates and support to ensure timely completion.
- Database and Contact Management: Maintaining up-to-date distribution lists, contact directories, and stakeholder information, as well as managing the dissemination of project-related documents.
- Translation and Drafting Assistance: Providing translation and drafting support for routine documents in English and Russian, ensuring clarity, accuracy, and proper grammar.
- Problem Resolution: Addressing non-routine inquiries and challenges, such as locating files or retrieving information, with efficiency and professionalism.
- Additional Responsibilities: Undertaking other duties as assigned by the Country Manager, Executive Assistant, or relevant operational staff to support the smooth functioning of the office.
