This position is strategically located within the Department of Operational Support (DOS) in New York. DOS provides critical operational support to UN missions worldwide, encompassing everything from logistics and finance to human resources. As an HR Assistant in this department, you will report directly to a senior HR Officer, working within a complex and stimulating environment that demands the highest standards of professionalism and discretion. You will be at the heart of HR operations, interacting with a wide range of stakeholders, from new applicants and current staff members to senior managers and officials from various UN departments and field missions. This central placement offers a comprehensive overview of the UN’s global workforce needs and the intricate processes that manage it.
A Deep Dive into Key Responsibilities: More Than Just Administration
The Human Resources Assistant role is multifaceted, encompassing a blend of strategic support, administrative excellence, and direct client service. The responsibilities are delegated within a framework of authority and are critical for the seamless functioning of the HR lifecycle.
Recruitment and Placement: The Gateway to UN Talent
You will be a key player in attracting and onboarding the world’s top talent. Your duties will be hands-on and impactful:
- Job Openings Management:Â You will initiate and post job openings (JOs) and temporary job openings (TJOs) in Inspira, the UN’s proprietary recruitment platform. This involves ensuring accuracy in postings, adhering to strict deadlines, and dynamically monitoring the status of all vacancies to meet critical target dates.
- Candidate Liaison and Pre-Employment Formalities:Â Following the selection process, you will be responsible for critical pre-employment steps, including conducting thorough reference checks and verifying academic credentials for Professional-level positions and above. This task requires meticulous attention to detail and absolute confidentiality.
- Onboarding Coordination:Â You will serve as a vital link between HR Operations and selected candidates, expertly coordinating complex international travel arrangements, visa processing, and relocation logistics, ensuring a smooth and positive transition for new hires joining the UN family.
- Administrative Execution: You will prepare and process essential personnel actions in the UN’s enterprise resource planning (ERP) system, Umoja, related to recruitment, placement, promotions, separations, and various special leave types (e.g., maternity, paternity, home leave).
- Expert Guidance:Â You will act as a first point of contact, providing clear and accurate advice to staff on a wide array of issues, including visa procedures, HR policies, and processes, liaising with other offices as necessary to resolve complex queries.
Administration of Entitlements and Classification
Your role extends to managing the conditions of service for staff:
- You will assist in the meticulous review and processing of data related to staff entitlements, ensuring every member of the organization receives their correct benefits and compensation in accordance with established rules and regulations.
- You will support the classification process by assisting in the review of requests for job classification, providing general advice on the procedures involved, and helping to maintain the integrity of the UN’s job evaluation system.
General HR and Administrative Support: The Backbone of Operations

- You will draft and process a wide variety of correspondence and official communications with professionalism and clarity.

Qualifications, Experience, and Language Requirements
- Education:Â A high school diploma or equivalent is required.
- Experience:Â A minimum of five years of progressively responsible experience in human resources management, administrative services, or a related area is mandatory. This requirement is reduced to three years for candidates who possess a first-level university degree or higher.
- Desirable Experience:Â Prior experience with the HR modules of SAP-based ERP systems (specifically Umoja) is a significant advantage. Experience using online recruitment platforms like Inspira is also highly desirable.
- Languages:Â Fluency in English, one of the two working languages of the UN Secretariat, is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is a strong asset and highly desirable.
