Scope of Work
The Administrative Support Clerk will provide essential administrative and operational support to the Executive Associate of the UNDP Iran Resident Representative (RR) and Deputy Resident Representative (DRR), as well as assist personnel in the Programme and Operations Units. The incumbent will be responsible for a variety of tasks, including but not limited to:
Key Responsibilities:
- Correspondence Management:
- Handling incoming and outgoing correspondence, ensuring proper routing and follow-up with relevant units.
- Providing verbal and written translation services (English ↔ Farsi) as needed.
- Stakeholder Liaison & Coordination:
- Serving as a point of contact for government institutions, program partners, and stakeholders, ensuring timely follow-up and adherence to established protocols.
- Office & Clerical Support:
- Performing general administrative tasks, including photocopying, filing, and preparing meeting materials.
- Assisting in the organization of workshops, meetings, and events, including minute-taking and documentation.
- Records & Database Management:
- Maintaining both physical and digital filing systems, including scanning and archiving documents.
- Updating and managing assigned databases, ensuring accuracy through regular communication (email/phone).
- Knowledge Management & Reporting Support:
- Collecting, compiling, and organizing project references, reports, and knowledge products for presentations, briefs, and communication materials.
- Assisting in the development of workflows, Gantt charts, and process diagrams under the guidance of relevant personnel.
- Additional Duties:
- Performing other administrative and operational tasks as required to ensure the smooth functioning of the office.
Supervisory/Managerial Responsibilities:
- The position does not involve supervisory duties.
4. Institutional Arrangement
The Administrative Support Clerk will operate under the general guidance of the UNDP Iran Resident Representative (RR) and Deputy Resident Representative (DRR), with direct supervision from the respective Unit Manager. The role requires:
- A high standard of accuracy, efficiency, and timeliness in service delivery.
- A client-focused, results-oriented approach to administrative support.
- Proper documentation and record-keeping of all tasks.

6. Minimum Qualifications of the Successful NPSA
Education:
- Required: Secondary Education (High School Diploma).
- Desirable: Bachelor’s degree in Business/Public Administration, Management, English Translation, or related fields (not mandatory but advantageous).
Work Experience:
- With a High School Diploma: Minimum 4 years of relevant experience in administration or program support.
- With a bachelor’s degree: Minimum 1 year of relevant experience.
Required Skills:
- Proficiency in Microsoft Office (Word, Excel, etc.), databases, and ERP systems.
- Fluency in English and Farsi (written & spoken).
Desired Additional Skills:
- Prior experience in the UN system, INGOs, or international organizations.
- Background in executive assistance, event coordination, or records management.
- Translation experience (English ↔ Farsi).
