Key Duties and Responsibilities

Administrative, Logistical, and Operational Support

  • Provide general administrative, logistical, and operational assistance to the Office and the Programme Manager (SSWSEEP).
  • Facilitate protocol compliance and information management for official travel.
  • Arrange travel (flights, hotels, visas, and ID cards) and process travel authorizations, DSA claims, and related documentation.
  • Support the organization of conferences, workshops, and retreats.
  • Maintain an efficient filing system, ensuring confidentiality of sensitive materials.

Office and Asset Management

  • Monitor and replenish office supplies, maintaining stock records and distribution logs.
  • Manage asset records and generate required reports.
  • Maintain premises-related files (maintenance, leases, etc.).
  • Act as buyer in Quantum, processing purchase orders (POs).
  • Prepare Requests for Quotations (RFQs), ITBs, RFPs, and assist in bid evaluation.

Human Resources Support

  • Assist in recruitment (posting vacancies, compiling matrices, organizing interviews).
  • Maintain staffing records and reports.
  • Serve as Leave Monitor.

Knowledge Management & Capacity Building

  • Facilitate administrative training for operations/project staff.

Qualifications & Requirements

Education

  • Required: Secondary education diploma.

Experience

  • Proficiency in MS Office (Word, Excel).
  • Preferred: Experience with ERP systems (Oracle Cloud).

Language

  • Required: Fluency in English.
  • Desirable: Arabic proficiency; knowledge of another UN official language
