Position Overview

As an Executive Assistant, you will serve as the primary administrative and operational support to the Principal Director (PD) of DOCK, while also facilitating knowledge management, governance coordination, and administrative functions within DCOD (Development Coordination and Operations Division). Your role ensures seamless workflow, confidential communication, and strategic alignment across departments, clients, and external stakeholders.

Key Responsibilities

1. Administrative Support (PD & Front Office)

  • Deliver high-level, confidential administrative assistance to the Principal Director, including calendar management, travel coordination, and prioritization of tasks.
  • Act as the central liaison for internal/external meetings, ensuring timely scheduling, briefing materials, and follow-up actions.
  • Monitor and track sensitive/urgent matters, escalating critical issues to the PD with recommended solutions.

2. Office Coordination & Workflow Management

  • Triage and assign client/stakeholder requests to appropriate teams, ensuring accountability and resolution.
  • Enforce compliance with DOCK’s procedures by guiding junior administrative staff on protocols, templates, and workflows.
  • Facilitate cross-departmental collaboration with ADB staff, executing agencies, and donor representatives.

3. Knowledge Management & Governance Support

  • Oversee document control, including drafting, routing, and archiving of approvals (incoming/outgoing correspondence).
  • Maintain SharePoint repositories and filing systems, ensuring accessibility of up-to-date policies, reports, and governance documents.
  • Disseminate critical updates to DOCK teams and monitor deadlines/deliverables for adherence to timelines.
  • Contribute to policy architecture by compiling governance-related materials and tracking revisions.

4. Data Analysis & Reporting

  • Extract, analyze, and synthesize data to generate standardized reports (e.g., progress dashboards, briefing packs).
  • Prepare executive summaries for the PD, highlighting trends, risks, and action items.

5. Additional Duties

  • Flexibility to undertake ad hoc tasks aligned with DOCK’s operational priorities.

Qualifications & Competencies

Education & Experience

  • Bachelor’s degree in Business Administration, International Relations, or related field.
  • Minimum 5 years of executive support experience in multilateral/bilateral organizations (e.g., ADB, World Bank, UN agencies).

Technical Skills

  • Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint), with aptitude for learning institutional software.
  • Exceptional organizational skills, including document management and workflow optimization.
  • Mastery of multilateral protocols, including governance structures and interdepartmental coordination.
