Key Duties and Responsibilities
Administrative, Logistical, and Operational Support
- Provide general administrative, logistical, and operational assistance to the Office and the Programme Manager (SSWSEEP).
- Facilitate protocol compliance and information management for official travel.
- Arrange travel (flights, hotels, visas, and ID cards) and process travel authorizations, DSA claims, and related documentation.
- Support the organization of conferences, workshops, and retreats.
- Maintain an efficient filing system, ensuring confidentiality of sensitive materials.
Office and Asset Management
- Monitor and replenish office supplies, maintaining stock records and distribution logs.
- Manage asset records and generate required reports.
- Maintain premises-related files (maintenance, leases, etc.).
- Act as buyer in Quantum, processing purchase orders (POs).
- Prepare Requests for Quotations (RFQs), ITBs, RFPs, and assist in bid evaluation.
Human Resources Support
- Assist in recruitment (posting vacancies, compiling matrices, organizing interviews).
- Maintain staffing records and reports.
- Serve as Leave Monitor.
Knowledge Management & Capacity Building
- Facilitate administrative training for operations/project staff.

- Preferred: Experience with ERP systems (Oracle Cloud).
Language
- Required: Fluency in English.
- Desirable: Arabic proficiency; knowledge of another UN official language
